Document Manager
Scope of Position
Corporate paralegal with experience in document management, storage and retention to work in a fast-paced, dynamic environment.
Reports to: General Counsel
Division/Department: Legal
Location: Escondido, CA
Classification: Non-exempt
Working Conditions
100% of the time is spent in the office environment, utilizing computers as well as other office equipment. Frequent use of phones, general office equipment and various software programs, including but not limited to Microsoft Office Suite products is required.
Responsibilities
- Oversee, maintain and manage the company’s file rooms and file storage, both electronic and hard copy, of corporate documents, contracts, correspondence, reports, maps, and other documentation.
- Implement record retention policy requirements in cooperation with the company’s Information Technology group.
- Provide archived records, such as contracts and correspondence, in accordance with company policy, government and under the supervision of the Legal Department to investigators, auditors, inspectors, and in the context of disputed proceedings.
- In cooperation with the Information Technology group, write and coordinate the review and revision of procedures, specifications, and forms for the records management system.
- Direct the proper record-keeping, organization, handling, indexing, storage, retrieval, retention and proper destruction of records in adherence to records retention policies and company procedures.
- Directs and supports the implementation of records management activities and oversees compliance.
- Under the supervision of the Legal Department and in cooperation with the Information Technology group, manages the development, implementation and maintenance of records management systems and activities.
- Manage the Company’s electronic data rooms for transactions, including project finance transactions.
- Screens requests for information and responds or refers to attorney and/or contracts manager
- Work with the Legal Department and operational units within company and provide training on document management, storage and retention.
- Develop a working knowledge of the business and operational goals and objectives of the assigned area.
- Assist the legal staff and compliance personnel with legal audits in assigned areas to determine conformance with applicable laws and regulations
- Manage multiple priorities by completing assigned projects by utilizing detailed planning
Qualifications
- A four-year college degree is preferred for this role, or an Associates degree with equivalent work experience.
- Must also have experience in data room set up and management.
- Document management and document control experience
- Experience with scanning of business documents
- Highly detail-oriented person
- Keen focus on quality output and adherence to standards
- Effective collaborator able to communicate progress and issues in a timely manner
- Experience working in a Microsoft computer environment
- General computing skills in a Microsoft environment, excellent web skills enabling distributed collaboration
- Experience with indexing databases or catalog systems, Interwoven document management systems and SAP a plus.
- Some travel between regional offices required.
